E-DOCS UK LAUNCHES SECURE
ALTERNATIVE TO BOX STORAGE
e-Docs UK has launched DocHaven, a new online data
repository that presents organisations with a real
alternative to traditional box storage. It provides safe
and secure storage for important corporate documentation
using twin mirrored servers and meets all government
guidelines for data availability whilst delivering
significant savings of up to 50% compared with the cost
of storing boxes in remote warehouses.
“Organisations may not be aware of the high level of
risk they are taking by storing paper-based documents by
the box load in storage warehouses. Paper is easily
damaged, degrades, takes up space and, most importantly,
there is often only a single copy of important
documents,” commented Colin Baterip, Managing Director
of e-Docs UK, a leading provider of hosted document
management solutions.

The fragile nature of using box storage was recently
revealed when a huge fire burnt out Iron Mountain’s
six-storey paper storage warehouse in Bow, London in
July destroying an unknown quantity of archived business
records. The company also suffered a similar event in
Ottawa, Canada during the same month.
The critical importance of data storage was
highlighted in various surveys conducted after
Buncefield. 30% of Financial Directors surveyed said
that they would never recover if a fire, flood,
terrorist attack or other similar event destroyed their
paper-based business documents. 32% of organisations
would take a minimum of 12 months to recover and the
remaining 38% would take approximately 6 months to
recover. This is despite 60% of organisations claiming
to have business continuity plans in place!
This new, hosted solution from e-Docs UK includes
free collection of all documents from customer premises.
Each document is scanned, indexed and loaded onto
DocHaven, e-Docs UK’s on-line repository that uses
highly secure, mirrored web servers situated at two
separate locations providing the highest levels of
service resilience and data security. Clients can
rapidly retrieve all stored documents twenty-four hours
a day, seven days a week using a standard web browser.
All search and retrieval screens can be customised
providing a totally transparent service to users.
DocHaven eliminates all delays and costs associated with
requesting storage boxes to be retrieved and delivered.
Storage using DocHaven is charged for by the page
rather than by the box, which can deliver significant
savings. Two copies of every document are stored, each
in a separate location, to ensure that they can be
quickly retrieved for the full period of storage
required and to minimize the risk of data corruption or
loss through unexpected disruptions such as those
recently experienced by Iron Mountain.
“DocHaven provides a resilient and secure alternative
to using box storage facilities and eliminates the risks
involved in storing valuable corporate data on paper. It
will play an important role in the development of
business continuity programmes that protect corporate
data and meet all guidelines for corporate governance,”
concluded Colin Baterip.
